This Privacy Policy explains what information Flash Order (“Flash Order,” “we,” “us,” or “our”) collects, how we use and share it, and the choices you have. It covers our website at flashordr.com, the operator dashboard and Flash Order apps, and the ordering experiences we run for businesses: web ordering pages, App Clips, kiosks, and registers (together, the “Service”).
We serve two groups of people. Operators are the food trucks and restaurants that use Flash Order to run their business. Customers are the people who order from those businesses through the Service. When a customer places an order, the business they order from decides how that order information is used; we process it on the business’s behalf to provide the Service.
1. Information We Collect
From operators. When you sign up and use the Service, we collect your name, business name, email address, phone number, business address and location details, and the content you add, such as menus, item descriptions, photos, logos, events, and settings. If you connect a Square account, Square shares with us the information needed to run the Service on your behalf, including your business profile, locations, catalog, orders, payments, and customer loyalty records, and grants us access tokens, which we store encrypted. When you use our apps, we collect device information such as device name and model, operating system and app version, and IP address. If you contact us for support, we keep your messages.
From customers. When you order from a business that uses Flash Order, we collect what you put into the order (items, options, special instructions, pickup time) and any contact details you choose to provide, such as your name, phone number, or email address, for example so the business can text you when your order is ready or send a receipt. If the business offers loyalty rewards or gift cards, we keep the related balances and history.
From website visitors. When you visit flashordr.com, we collect the pages you view, the site that referred you, campaign information in the link you followed (such as an ad or email campaign), and basic device and browser information, as described in Section 6. If you use our contact form, we collect your name, email address, phone number, and message.
2. How We Use Information
We use information to:
- provide, operate, and maintain the Service, including taking orders, sending them to the business’s kitchen display, and syncing with Square;
- send order status updates and other notifications you or the business have enabled;
- set up and support operator accounts, including importing menus and generating menu images, logos, and translations;
- respond to questions and support requests;
- detect, prevent, and investigate fraud, abuse, and security problems;
- understand how the Service and our website are used so we can improve them, and measure the effectiveness of our marketing;
- comply with legal obligations and enforce our Terms.
3. How We Share Information
With the business you order from. When you place an order, the business receives your order and the contact details you provided so it can prepare and hand off your order.
With service providers that help us run the Service, under contracts that limit their use of the information to providing services to us:
- Square, for payment processing, orders, catalogs, and loyalty;
- Twilio, to send text messages;
- email delivery providers, to send email such as receipts, sign-in codes, and support replies;
- Apple, for app distribution, push notifications, maps, and storage of menu images and related content;
- Google, for website analytics and to protect our contact form from spam (reCAPTCHA);
- AI providers (Anthropic and OpenAI), to read menu photos, generate menu images and logos, translate menus, and power the operator assistant. We send them only the content needed for the feature being used;
- hosting and internal communication tools we use to operate the Service and support operators.
For legal reasons. We may share information if required by law, to respond to legal process, or to protect the rights, property, or safety of Flash Order, the businesses we serve, their customers, or others.
In a business transfer. If Flash Order is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Payments
Payments are processed by Square, not by Flash Order. Card details are entered into Square’s payment forms and card readers and go directly to Square; we never receive or store full card numbers. We receive the information about a payment that we need to run the Service, such as the amount, the time, and whether it succeeded. Square’s handling of payment information is governed by Square’s own privacy policy.
5. Text Messages and Notifications
If you give a phone number when ordering, the business may text you about that order, for example when it is ready for pickup. These messages are about your order, not marketing. Message and data rates may apply. You can reply STOP to stop receiving texts. Push notifications in our apps and in your browser are sent only if you allow them, and you can turn them off at any time in your device or browser settings.
6. Cookies, Analytics, and Similar Technologies
Our website uses Google Analytics, which sets cookies to understand how visitors find and use flashordr.com. Google’s use of this data is described at policies.google.com/technologies/partner-sites, and you can opt out with the Google Analytics opt-out browser add-on. We also store a random identifier and the campaign that first brought you to our site in your browser’s local storage, so we can tell which pages and campaigns lead businesses to sign up. The Service uses local storage to keep you signed in and remember your settings and your cart. You can clear cookies and local storage in your browser settings; some features may not work without them.
7. Data Retention
We keep operator account information for as long as the account is active and as needed to provide the Service. We keep order records as long as needed to provide the Service to the business, support its accounting and reporting, resolve disputes, and meet legal obligations. When information is no longer needed, we delete or de-identify it.
8. Security
We use reasonable safeguards to protect information, including encrypted connections (HTTPS), encryption of payment-processor access tokens, and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your Choices and Rights
Operators can review and update their business and contact information in the dashboard, and can disconnect Square at any time. You may ask us to access, correct, or delete personal information we hold about you by contacting us (see Section 12). If you are a customer and your request is about an order with a particular business, we may refer it to that business or act on its instructions. Depending on where you live, you may have additional rights under local law; we will honor those rights as required. We will not discriminate against you for exercising them.
10. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice.
